Responsible for assisting and supporting our US Events, Marketing and PR/Social Media teams. Day to day contributions will directly enable these teams to operate efficiently and deliver impactful work. Manages cross-functional communications, project tracking, handling key logistical details to ensure seamless execution of campaigns, product launches, media initiatives and events. The support in this role will be essential in keeping teams focused, aligned and set up for success.
· Manage the Pre-Event and Onsite Event Support for the US three major annual events (Seminar, Leadership and Career Conference) and other events as needed.
o Manage and coordinate several small projects before and onsite at our main events including VIP seating, resupply ordering, event volunteers, information changeover for our scripts, speeches and specific recognition
o Work closely with internal partners and external vendors to coordinate aspects of the events
o Organize and set training meetings and event information meetings for volunteers pre-event
o Travel to events and on-site support required
· Manage Post-Event Support Surveys and Communication:
o Work closely with Events team to prepare and create post-event survey to go out to sales force attendees, developing the question format and ensuring ease of use
o Collaborate with communications team to ensure survey information and attendee list are provided for email to sales force
o Provide employees with opportunity to watch virtual show as applicable
· Product Requests and Mailings
o Build makeup kits for events and influencer partnerships.
o Place product orders for Social Media and PR agencies’ closets, Social Media photo and video shoots and PR events and sponsorships. Occasional packing and shipment of products to Beauty Editors, influencers and paid media partners.
o Management and organization of collateral to support mailings. Assist with all Sales Force ambassador product mailings to support early adoption and education for upcoming product launches.
o Also assists with all early product giveaways (i.e. Leadership Conference NSD giveaway, Inner Circle, NSD trip, Top Director Trip, etc.) and participates in the execution of these special mailings.
o Assists with sending product samples and other materials to Canada.
o International sample shipping.
· Marketing Quarterly Alignment & Strategic Communication -
o Lead bi-weekly alignment meetings with key stakeholders to ensure that information related to product launches, promotions, and marketing initiatives is shared effectively and on schedule.
· May perform miscellaneous duties such as needed. This may include scheduling zoom call bookings for the teams, coordinating meetings, order ad-hoc office supplies, packing for special events and volunteering at events.
· Product Comments – Autonomously manages the collection of product-related salesforce feedback. Provides a detailed reporting of that feedback monthly, plus an annual rollup and a post-event rollup to US leadership team. Analyzes data to determine if there are quality issues or opportunities for product development.
· This job requires on-site work at a Mary Kay facility.
KNOWLEDGE, SKILLS AND ABILITIES
Education – High School Diploma or equivalent
Experience – 3+ years experience supporting multiple functions at one time. Experience supporting Events and/or Marketing team is preferred.
· Must be organized, have a strong attention to detail and be self-directed to successfully work on multiple projects simultaneously with minimal supervision of tasks. |
· Must be flexible and able to adapt in a fast-paced, always evolving environment. |
· Advanced knowledge of Microsoft Office applications, such as Excel, Word, PowerPoint, SharePoint and Teams required. |
· Excellent oral and written communication skills required to work successfully with a diverse group of individuals, including internal partners and the independent sales force. |
· Ability to obtain the assistance of subject matter experts and to maintain open two-way communication with internal departments to collaborate on upcoming projects and promotions. |
· Out-of-town travel is required for 15% of work time to attend special events |
