Provides support to the Sales and Marketing VPs and their teams. Manages projects and administrative duties to support both departments. Requires detailed knowledge of the function and a good understanding of overall Company business and objectives.
· Supports the Vice President and/or Division administratively with calendar management, expense reports, travel arrangements and itineraries, staff meeting agendas and minutes, and presentations. Also provides administrative support to Division Directors and departmental personnel, as needed. May perform miscellaneous duties such as maintaining department calendar and contacts, assisting with marketing projects, pulling sales force information, department holiday party and other miscellaneous team building events, performing investigative research, and resolving inquiries.
· Product Closet – Owns the organization and inventory management of the product closet, including both existing inventory and new production. Responsible for coordinating receipt of first production samples with GIC, distributing that product and accounting for its inclusion in the closet. Responsible for managing the budget for the closet and maintaining inventory levels of all active regular line and limited edition products for team needs. Responsible for archiving and keeping sample records of all non-active limited edition and phased-out regular line products.
· Product Requests and Mailings – Build makeup kits for events and influencer partnerships. Place product orders for Social Media and PR agencies’ closets, Social Media photo and video shoots and PR events and sponsorships. Occasional packing and shipment of products to Beauty Editors, influencers, and paid media partners. Occasional printing of collateral to support mailings.
o Product Comments – Autonomously manages the collection of product-related salesforce feedback. Provides reporting of that feedback on a monthly basis, plus an annual rollup as well as post-event to US leadership team.
· Assistance with Special Events – Responsible for coordinating specific aspects of the Product Area before, during and after special events. Includes planning and arranging for delivery of supplies and product to event venues, placing Business Use orders, shopping for supplies, merchandising and packing and unpacking.
· Budget – Works with Accounts Payable to ensure invoices are received, processed, and paid. Manages and tracks the budget with approval from the VP and Director.
· Administrator for Care Bulletin Process. By managing this process important and relevant sales force information is shared with the rest of the department as needed.
o Manages the Care Bulletin Process – review and approve all service cloud Care Bulletin cases. Manage the process for Care Cards provided to Directors and Above and placing floral orders.
· Nepotism Coordinator for the Company
o Manages Conflict of Interest/Nepotism Policy for the Company, gathers info for possible violations, makes independent decisions on standard cases, communicates outcomes to internal partners, and collaborates with HR and Audit for form completion. Also leads Conflict of Interest/Nepotism Standard Operating Procedure project and may explain policy to sales force.
· This job requires on-site work at a Mary Kay facility.
KNOWLEDGE, SKILLS AND ABILITIES
Education – High School Diploma or equivalent
Experience – 5+ years experience in project coordination, preferably in a direct sales or marketing environment.
