JOB PURPOSE    

Provides proofreading and copy editing expertise to the U.S. market, ensuring that marketing and promotional material is released with accurate Mary Kay style, grammar, consistency and factual content. Independently initiates resolutions of issues or conflicts by collaborating with Legal, copywriters, project owners and others on the Creative team. Determines and initiates proofreading best practices. Researches facts, trademarks and images to ensure accuracy. Serves as a Company resource and knowledge base regarding proofreading functions and product and program content.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES     

  1. Proofs and copy edits all projects that come through the U.S. Creative Services Department -- including print, digital, signage, manuals, documents and more -- for content, accuracy, readability, grammar, spelling, punctuation and completeness of jobs. Ensures that literature conforms to Mary Kay style, Graphic Standards Manual and legal guidelines, including trademark, copyright and regulatory requirements. Reviews each project as a whole to ensure that content matches imagery and does not conflict with information in other jobs. Independently takes initiative to determine how to resolve issues, including escalation to other departments. Proofreads and marks up copy, annotating within a workflow management system any deviations from original documents, specifications and instructions. Reviews changes through every stage of production. Attends job status meetings to discuss project changes and updates. Checks pricing for new products and confirms all prices; examines type fonts, photographs and art elements; researches new product packaging in Agile system to use for comparison. Confirms and checks independent sales force member names, titles and other information using a database system.

     

  2. Maintains knowledge of trademarks, new product, shade and promotional names, and pricing to facilitate proactive corrections to projects, resulting in fewer costly and time-consuming updates and approvals. Checks accuracy of revisions and approves final boards and bluelines prior to release. Maintains knowledge of and understands U.S. products and independent sales force programs.

  • Products: Understands product claims and the Legal/FDA implications of publishing unapproved or inconsistent claims. Uses an internal research database to verify correct claims. Frequently reviews the U.S. Product calendar to be aware of launch dates and phase out timeframes.

  • Sales Force: Understands the details of independent sales force development and career level qualifications, including but not limited to: career car program, team building promotions, career apparel, recognition programs including Star Consultant and Seminar Awards, Special Events, career path, order fulfillment options, Preferred Customer ProgramSM and more.

  • Other: Maintains knowledge of corporate social responsibility programs, human resources/benefits programs, MKConnections®, educational programs and more.

     

  1. Serves as a corporate-wide knowledge resource, answering style and deadline questions from others in the Creative process, including writers and other proofreaders. Makes final decisions regarding inquiries by team members and project owners; coordinates escalation and tracking of inquiries to other departments (such as Legal) as necessary. Educates proofreaders and writers on updates, changes and key information provided by various departments in order to facilitate the most proactive, efficient and accurate proofing of projects. Works closely with the Spanish translation team to resolve any discrepancies that occur in translation.

     

  2. Monitors proofreading workload and schedules and finds efficiencies to guarantee deadlines are met. Attends departmental, copywriting and proofing meetings to discuss projects, schedules and new developments and initiatives.  Interviews, researches and screens freelance applicants; trains and supervises temporary help as required. May coordinate the workflow of employee and freelance proofreaders.

     

  3. Independently creates and maintains style guides and manuals utilized by the Company, as well as the proofreading trademark list, trademark/nouns list and trademark attributions list. Makes final decisions in determining style and formatting for new products, promotions, taglines and campaigns.

     

  4. Explores literary market and orders up-to-date reference material (e.g., Associated Press Stylebook, Merriam-Webster’s Collegiate Dictionary, etc.) to ensure the latest grammatical and style techniques are reflected in projects. Utilizes the Internet and the Mary Kay library facilities for unusual proofreading and copy editing questions to ensure high-quality standards are maintained.

 

 KNOWLEDGE, SKILLS AND ABILITIES

 

Education 

·         High school education or equivalent plus 9 hours of college English or Journalism coursework.  Bachelor’s degree in English or Journalism preferred.

Experience

·         5-7 years of related work experience in a journalism and/or graphics production environment

 

  1. Requires exceptional proofreading and editing skills.

  2. A thorough understanding of publication production, art production, mechanical production terms.

  3. Must be organized and detail-oriented in order to proof and edit large volumes of printed materials within time constraints.

  4. Must have good PC skills in order to annotate, navigate databases and prepare and update various proofreading manuals, lists and time logs. Experience using a workflow management/routing system is a plus.

  5. Knowledge of Spanish, French, German, Russian, Portuguese or Asian languages is a plus.
