JOB PURPOSE  

Acts as a coordinator for Sales Development to ensure correct and precise processes are executed with critical and timely information regarding the independent sales force. Contributes to the overall attainment of Sales Development goals and objectives. Provides motivation, information, and education to the independent sales force. Coordinates special projects for Sales Development such as the Creative and Trip mailers, monthly Go Give Nominations, escalated 90% return process and other projects that arise during the year. Facilitates floral orders with vendor for independent sales force care bulletin circumstances. Highly organized, detail-oriented, and adaptable, with excellent communication skills and a proactive approach to problem-solving. Demonstrates discretion in handling confidential information and comfortable using modern technology and AI tools to streamline tasks and enhance productivity.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES   

·         Supports the department by coordinating projects that affect each Seminar division such as routine and nonroutine administrative projects, Monthly Go Give Winner Nomination process, Sales Director Trip and Creative Mailers. Also, handles all phone calls from sales force members and assigns them in SalesForce, New Director Education and Sales Force Tours. Interacts with senior and mid-level management, Human Resources, international subsidiaries, Legal and outlying branches to research and respond to requests or department policy issues. Departmental records management lead.

·         Provides support to the department by providing motivation, information and education to the independent sales force. Follows-up on assigned calls. Takes messages as appropriate and offers solutions to non-routine inquiries, often requiring some research. Acts as a problem-solver for independent sales force members with regard to various issues or concerns. Provides individual career counseling for sales force members to assist in achievement of their goals.

·         Supports the Director or department administratively with calendar management, expense reports, travel arrangements which include detailed itineraries. itineraries. Collects, organizes, interprets, and summarizes data of various types into proper format, including creation of spreadsheets, PowerPoint presentations, etc. Uses AI for efficiency purposes and when written communication is needed for the sales force or internal staff.

·         Completes the Recruit Reinstatement process. Researches the date the Recruiter lost her Recruits, order history, Recruiter production and order activity then follows guidelines in restoring Recruits to a Recruiter. When outside of guidelines, gathers supporting data including financial impact to Company and takes request forward for additional consideration. Communicates decision to Consultant Records, the Recruiter, Sales Director, and/or up line sales force member(s). Completes the 90% Return Policy and exceptions to this policy. Communicates decision to former Consultant and Director if request is approved or denied.

·         This job requires on-site work at a Mary Kay facility.

KNOWLEDGE, SKILLS AND ABILITIES 

Education:  High School Diploma or Equivalent

Experience: 3+ years

Field of Experience: Administrative support, Project coordination for a corporation or association, Mary Kay customer relations

·         Demonstrates strong organizational skills to manage multiple tasks, schedules, and priorities efficiently.

·         Communicates clearly and professionally with internal teams, clients, and external partners, both verbally and in writing.

·         Maintains accuracy in scheduling, documentation, and data entry, ensuring high-quality work with minimal errors.

·         Utilizes modern technology and AI tools to streamline administrative processes, automate routine tasks, and enhance productivity.

·         Handles sensitive information with integrity and maintains confidentiality in all aspects of the role.

·         Proactively identifies issues and implements effective solutions to support smooth office operations.

·         Thrives in dynamic environments, quickly adapting to changing priorities and taking initiative to improve workflows.

·         Must have excellent oral and written communication skills, tact, judgment, and professionalism.

·         PC skills are required, including proficiency with Word, Excel, PowerPoint, Publisher, and Outlook, including calendar organization and scheduling. Strong familiarity with Zoom required.
